Technical and quality documents

Specification or TDS

This should identify the exact product and grade, reference limits and relevant physical characteristics. Ensure the document matches the source being offered.

Safety Data Sheet

The SDS supports workplace, storage and transport review. Confirm its revision, language needs and whether the transport classification aligns with the offered concentration and form.

Certificate of Analysis

Agree whether approval requires a representative COA, pre-shipment COA or batch-specific COA and which test items must appear.

Commercial and shipping documents

Depending on the transaction, the set may include commercial invoice, packing list, bill of lading, certificate of origin, insurance document and product- or market-specific declarations. Dangerous goods may require additional declarations, compliant packing and marks.

Certificates: verify scope, not just the logo

A certificate should be checked for legal entity, site, product or activity scope, issue and expiry dates, and issuing body. ISO, food-safety, Halal, Kosher or feed-related documents do not automatically cover every product sold by a supplier.
